Clinical Manager
Let Them Hear Foundation is a non-profit foundation that works in
conjunction with the California Ear Institute to help hearing-impaired
children and adults H.E.A.R. LTHF provides Hearing services for
underprivileged American youth; Education for professional and public
sectors per cochlear implant hearing healthcare issues and practices; Access
development for under-served persons through insurance advocacy and overseas
medical efforts; and Research concerning treatment for ear disease and
function.
Since its inception in 2003, Let Them Hear has trained leading doctors from
17 different countries, including two-thirds of the cochlear implant
surgeons in China. It has coached nearly 1,000 clinicians and school
teachers. And since 2006, LTHF has achieved healthcare coverage for 126
million Americans formerly denied it. That is over 50% of those insured in
America.
LTHF has a current opening for the position of Clinical Manager.
Job Summary: Oversees daily clinic operations, and provides management and
administrative on-the-ground support to clinicians to maximize productivity
and cultivate job satisfaction.
- Managerial or Lead experience, preferably in a private practice healthcare
setting
- Solid understanding of medical office management protocol; scheduling,
patient flow, medical records, transcription requirements, computerized
medical billing.
- Demonstrated excellence in cultivating team collaboration and efficiency
- Strong written and verbal communication skills
Excellent customer service focus
- Demonstrated ability to quickly solve problems while remaining detail
oriented
- Strong organizational skills; able to multi-task while maintaining
attention to detail
- Computer literate; proficient in Microsoft Word, Excel and Outlook
- Neat, professional appearance
- Knowledge of Advanced MD practice management systems or a comparable system
a plus
Clinic Management
- Oversee daily clinic operations in keeping with LTHF goals to
maximize efficiency, and ensure patient and team satisfaction.
- Maintains
schedule and timely patient flow.
- Resolve all issues related to patients, including Clinic and team.
interaction and productivity.
- Collaborate with Associate.
- Director to meet budget projections for
Clinic & provide input around significant deviations.
- Develops written protocols for: job responsibilities, office
procedures as it pertains to scheduling, patient communications, dictations,
chart management etc.
- Updates the Department's procedures manual. Create and modify forms as requested by clinical staff. (i.e. equipment forms, in-take forms, forms regarding devices).
- Clinical staff
will provide the necessary data for the forms.
- Act as liaison between other offices to ensure effective
communication about LTHF patients as needed.
Clinic Administrative Support
- Communicate the company's payment policy, non-profit status, and
sliding scale procedure to patients, and resolve issues related to financial
provision of services.
- Schedule all appointments for patients (phone, e-mail, in person) & make reminder calls for all patient appointments.
- Prepare charts for visits, charge slips, obtaining intake
questionnaires prior to visits as needed. Ensures patient demographic and
insurance information is up-to-date in Practice Management software.
Coordinate w/ Surgery Scheduler to keep audiologists up to date
regarding cochlear implant scheduling, electrophysiology scheduling. Ensure
details are:
- Order office supplies within budget of department
- Fulfill requests for medical records.
- Download dictations from Dictaphone. Coordinate revisions and signatures by professional staff.
- Post charges/payments and create daily batch report through Practice Management system.
- Receive and review all Hear Aide Scholarship requests, granting funds according to eligibility and available funds; maintain records of all
past and existing Hear Aide Scholarship recipients; address and solve any
Hear Aide-related issues that arise.
- Coordinates the collection and storage of clinical research data
under guidance of the Director of Clinical Research.
- Maintains records on patients who are involved with a clinical
trial to be sure appropriate appointments are made and kept.
